I'm the primary organizer of a weekend retreat for a bunch of rationalists from Ontario, Canada.

The AirBNB itself is $2300. Tickets were sliding scale between $175 and $300, and a total of $3500 was collected from 17 attendees, who require caffiene, food that is mostly vegetarian, snacks, alcohol, and maybe some other things??

At this point, all slots are filled, so I'm not anticipating more funding. It's possible that some people might cancel last minute, if they do I'll likely give them their money back. This won't count as an expense; it will count as a reduction in the budget, which is less relevant for this market.

I've precommitted to re-imbursing gas costs and buying fancier snacks (the Good grapes, perhaps some fancypants cheese, glass containers of Stuff with figs in the ingredients list) if any excess funds remain from buying food for the meals.

I also have a buffer of around $500 that I will dip into if I think it's necessary. I am a bit of a food snob so I might decide that it is necessary for the snack quality to be up to snuff.
